Payment & Refund Policy

DEFINITIONS

1.1 In this Payment & Refund Policy unless the context otherwise requires, the following definitions apply:

 "Business"  means the operation of the Women in Business Network
 “Fees”  Membership and Meeting Fees
 “Franchisee”   a person or business entity that owns and operates a WIBN franchise under licence
“Group Leader”  individual who runs a WIBN Group on behalf of a Franchisee
“Member”  individual who is a member of the WIBN membership organisation
“Membership”  the status of being a member of the WIBN organisation
 “WIBN Associates Ltd”  the parent company, franchisor and owner of the WIBN brand
“WIBN Group”  a business networking group operated by a franchisee according to WIBN Associate Ltd’s structure, systems and processes
 “WIBN National Group”  a WIBN Group comprising of Members from across the UK, which always meets online

 

INTRODUCTION

By booking/attending a WIBN event, whether in person or virtually, you are also agreeing to abide by WIBN’s Terms and Conditions of membership. Relevant details concerning WIBN will be supplied upon request.

MEETING & EVENT PRICE

The price of any of our meetings and events will be as quoted in our collateral and on our website.  Prices listed are exclusive of VAT at the prevailing rate unless otherwise stated.

Prices are liable to change at any time, but changes will not affect bookings in respect of which we have already sent you a Booking Confirmation, except in cases of obvious error.

MEETING & EVENT BOOKING (ONLINE)

WIBN is a National Franchise and as such, your local WIBN Franchisee/Group leader may accept different payment types. You may pay your Franchisee/Group Leader directly for the booking and they will advise you directly regarding which payment types they accept.

Please note that whilst WIBN operates secure IT systems, we cannot guarantee the security of data which you send us by email. Accordingly, please do not send us payment information using email. Unless we are fraudulent or negligent, we will not be liable to you for any losses caused as a result of unauthorised access to the personal and transactional information that you provide us when making a booking.

For annual fees you will have the option to make your repayment in one annual payment or over 12 monthly instalments over the period of your membership. For any extra Fees associated with visiting a monthly WIBN meeting (e.g. refreshments) or any Fees associated with an additional event outside your regular monthly meetings, full payment shall be due on booking the event.

All bookings made within 2 weeks of the date of the event will be non-refundable as detailed in the cancellation terms below.

Payment of invoices issued shall be due strictly in accordance with our standard invoice terms. We shall be entitled to charge you interest on late payments in accordance with the Late Payment of Commercial Debts (Interest) Act 1998 (as amended from time to time).

You will be unable to access our portal or attend a WIBN meeting, if payment has not been received.

SPECIAL OFFERS

We reserve the right, from time to time, to run special promotional offers on our WIBN meetings and events. Special offers may include, but are not limited too, price promotions. In the event of a special offer, additional terms and conditions may apply which will be made available at the time of booking.

Any places booked at a WIBN meeting or event prior to a special offer will not be offered the promotion retrospectively unless specifically agreed by WIBN or your WIBN Franchisee.

PROMOTIONAL CODES

Only one Promotional Code can be used per order and can only be used in conjunction with any other promotion, special offer or discount where WIBN has provided its express permission.  To utilise the Promotional Code Eligible Purchasers must enter/state it prior to completing the order.  Eligible Purchasers must not pass on the Promotional Code to third parties.  WIBN reserves the right to cancel and refund any booking placed by anyone other than an Eligible Purchaser, using a Promotional Code. 

CONFIRMATION OF BOOKING

Each Member must represent the profession that is either their main Business or forms a substantial part of their main Business activity.  This is known as your Professional Category. 

All bookings are subject to availability of Professional Category within the group you wish to visit or become a member of and will require formal acceptance by the Franchisee or Group Leader of that group, and we will confirm such acceptance to you by sending you a confirmation e-mail stating that the booking has been confirmed (the ‘Booking Confirmation’).

The contract between us (‘Contract’) will only be formed when we send you the Booking Confirmation. The Contract will relate only to those group events which we have confirmed in the Booking Confirmation. 

JOINING INSTRUCTIONS

You will receive joining instructions via email with a link to create your profile for the WIBN portal, and confirmation of timings and venues once your booking has been processed. If you have not received this one week prior to the event, please contact your Franchisee/Group Leader. Prior to contacting us, please ensure you have checked your email inbox as well as your spam and junk mail, just in case the joining instructions have been sent to these inboxes by your email client.

MEETING & EVENT CONTENT

We reserve the right to make changes to the published programme for specific meetings and events (but not the overall content), for example to timings and/or speakers if one of the advertised speakers is unable to attend.  In such cases, you will not be entitled to a refund if you cancel your place.

MEETING & EVENT VENUE

Some of our meetings are held at a number of venues in your area.  You acknowledge that we may have to change the published venue (including from in-person to virtual and vice versa) for the meeting or event for reasons beyond our control and in such cases, you will not be entitled to cancel unless the change in venue represents a significant disadvantage to you.

You are liable for any loss or damage which you may cause to our premises or that of the external venue and agree to adhere to all housekeeping rules, procedures and policies, such as Health & Safety (and policies as to behaviour and conduct) that may be in place at any venue from time to time.

If you have a disability or medical condition that requires special arrangements to be made, or specific dietary requirements, please notify your Franchisee/Group Leader of your requirements when making your booking.

Whilst we do our utmost to ensure our venues are of a professionally adequate standard, WIBN Associates Ltd, its Franchisees or Group Leaders are not liable for any Health & Safety failings of a host venue.

OUR CANCELLATION AND REFUND POLICY

If your membership is terminated at the discretion of the Franchisee/Group Leader within the 12-month period, your Fees will be refunded on a pro-rata basis.  (excluding lunch costs where applicable).

Any refunds due to a member will be paid directly from the Franchisee/Group Leader.

Upon leaving WIBN, it is the responsibility of the member on a recurring payment plan to cancel the payment.  Where this does not happen an administration fee of £50 (+VAT where applicable) will be debited from any membership refund prior to any refund given.

MEETING CHANGES

WIBN reserves the right to move a WIBN meeting to a new venue or platform where necessary and venue choice is entirely at the discretion of the Franchisee/Group Leader.  

There will only be a meeting date or venue change when the circumstances are beyond our control and at the discretion of the Franchisee/Group Leader.  Should the date or venue change without adequate notice and within 3 weeks of the diarised meeting, thus preventing a WIBN member from attending their monthly meeting, one month will be added to the term of the membership.

In the event of a venue change beyond what the Member deems to be an acceptable distance, thus preventing the WIBN member from attending any future meetings and therefore cancelling their membership, a pro-rata refund of Fees will be provided to the Member by the Franchisee/Group Leader.

All bookings received within two weeks of the date of the meeting will be subject to the cancellation Terms and Conditions with immediate effect and any monies due will need to be paid by credit/debit card.

NON-ATTENDANCE AND SUBSTITUTES

Any member who is unable to attend one of their group’s monthly meeting, must nominate a replacement (“the Substitute”) to attend in their absence. You must register for your monthly meeting via the WIBN portal and provide the Substitute’s name, e-mail address and dietary requirements no less than three working days prior to the event taking place.

WIBN reserves the right to refuse entry to the substitute in circumstances where any difference in price (see above) has not been settled or where the substitute fails to meet any eligibility criteria applicable for attendance at the relevant Event.

TRANSFERRING MEMBERSHIP

You are not eligible to transfer your membership to another WIBN Group during the term of your membership and a £60 + VAT administration fee will be charged.

OUR LIABILITY

Meeting attendees shall be required to keep their personal belongings with them at all times and we accept no liability for damage to, or loss of, personal belongings. Neither WIBN nor WIBN Franchisees/Group Leaders accept any responsibility for any loss (including, without limitation, theft) of any property occasioned at external venues save for any damage caused by WIBN or the Franchisee’s/Group Leader's negligence in which circumstances our liability shall be limited to the amount of our Franchisee’s insurance for such losses.

Neither WIBN nor WIBN Franchisees/Group Leaders will not be responsible to you or any third party for any Business loss (including loss of revenue, profits, contracts, anticipated savings, wasted expenditure, data or goodwill) or any other loss or damage which does not result directly from our actions.

Nothing in these membership/meeting booking terms and conditions excludes our liability to you for personal injury or death caused by our negligence.
